Coach accounts and the pay sheet
The coach's running account per team and event: confirmed, paid and owing per race day, the receipts, and the desk's pay sheet on the phone.
What it's for
A coach pays for exactly what they tick. Each confirmed athlete-day is priced at the race's own fee (member or guest) or, failing that, the club's default entry fee. Every payment makes its own receipt. A tick taken back after paying becomes a credit against the next day by default; a refund only when the office presses it. An unpaid day is owing; whether an unpaid athlete stays on the list is the club's own switch, Unpaid athletes on the list, under Club payments.
Coach accounts in the Money area shows the office the same tally the coach sees on the phone: per team, per race day, confirmed, paid, owing, credits applied and the receipt numbers. It is read-only: cash is marked on Manage Competitors or the phone's pay sheet; a refund is the refund desk's.
Steps
- Open Members › Money reports › Coach accounts.
One card per team: confirmed, paid, owing, receipts per race day - Pick the Event and press Show when the club has more than one.
- Read each team's card. A receipt number opens the receipt; a line under the card names credit not yet used.
- The coach pays on the phone as they confirm (see Coach on the phone); the desk ticks cash on the Pay sheet or in the PAID column of Manage Competitors.
What success looks like
Each race day of each team reads paid with a receipt number, and Owing at the top of the Coach accounts report is zero before the first start.
If something goes wrong
- No coach has claimed an athlete on this event yet: the tally starts when a coach confirms athletes.
- A line reads unticked after paying — … credit against the next day: the coach paid, then withdrew the tick; the money stays as a credit unless the office refunds it.
