Notify coaches and lock the list

The bar at the foot of Manage Competitors: publish a race day's list to the coaches, tell them, and lock it so their view is final.

What it's for

The coaches see a race day's list in Race Relay only once you publish it. The bar pinned under Manage Competitors does the whole job: it says the day's state, chooses which of the day's lists go out, tells the coaches, and locks the list when it is final.

Before you start

  • The Active race set to a race on the day you are publishing.
  • CHECK reading 0 on the list; publishing refuses while a CHECK row remains and names the count.

Steps

  1. Read the bar: the dot and the word say the state — Not published, Published, or Published · locked — followed by the date, discipline, the list sizes (Men 38 · Women 36) and what the coaches can see.
  2. Pick which of this race day's lists the press covers: Men, Women or M + W. The bar opens on the Active race's gender; M + W publishes both lists of the same day together.
  3. Press Publish list to coaches. The coaches can now see the list and answer Racing or Not racing per athlete.
  4. Press 📣 Notify coaches to post the "list is ready" message to the Coaches chat. It is there whenever the day is published, so you can send it again after a change.
  5. When the list is final, press 🔒 Lock the list. The bar turns red with the banner This list is locked — the coaches' view is final and nobody can edit the list; the three import doors in the menu show a 🔒.
  6. To change the field after that, press 🔓 Unlock the list, make the change, then lock it again. The coaches' view is frozen while the day is unlocked.

What the lock closes

  • Importing competitors: Upload entry form, Import from FIS list, Import from file.
  • Points are not locked: Update FIS points and the ANC points update run on a locked list, because they change numbers, not who is on the list.
  • The bib lock is a different catch, per race, on the draw screen (Lock bibs).

What success looks like

The bar reads Published · locked for the day, the coaches have the ready message in their chat, and Coach view shows the day exactly as they see it.

If something goes wrong

  • Publishing refuses with a count of NEEDS_CHECK entries: fix the red CHECK rows on Manage Competitors, then publish again.
  • A coach says the list is gone from their phone: the day is unlocked. Lock it again and it comes straight back.
  • The import door tooltip talks about switching the list to "Edit List": it means 🔓 Unlock the list on this bar.
